Smarter EHCP Consultations with Edazoo
As a local authority their SEND Assessment and Review team are responsible for almost 4,000 Education, Health and Care Plans (EHCP). As directed by the 2015 SEND Code of Practice, one of their duties is to facilitate consultations with settings; this is for any new EHCP’s, parental requests for changes in placements and to identify new settings for pupils in transition years, amongst many others.
The Challenge
Our manual email-based consultations were overwhelming. Each consultation required multiple emails with attachments, indexing, and follow-ups- all under strict GDPR rules. Complex cases could take 30+ minutes per pupil, and chasing responses from schools was time-consuming and difficult to track.
The Solution
The team created the EHCP Tool on the Edazoo platform which is already used by our colleagues in the Children, Families and Schools department. The tool allows:
- Sending multiple consultations in one place, entering data only once
- Automatic notifications and reminders to schools
- Standardised response forms, reducing interpretation errors
- Easy viewing and PDF download of all responses
- Direct sharing of responses with the allocated caseworker
Results & Impact
The EHPC tool is intuitive, user-friendly, and has been rolled out across primary, secondary, special, post-16, and nursery settings in the area, with training and support provided at each stage. The tool has transformed their processes.
